Creating Mailing Labels from your Excel Worksheet


 

 
  1. Make sure your Excel spreadsheet is format as follows:
    1. the field names should be on the first row
    2. every other row after that is a different record or a different transaction
    3. every column is a different field.
  2. Go into Microsoft Word.
  3. On the word document, click on the mailings menu.
  4. From the mailings menu click on Start mail merge.
  5. Click on labels.
  6. On the next screen, pick your label type
  7. Usually we would pick Avery US Letter as the label vendor
  8. Then you can pick any of the label size , the most popular one is 5160.
  9. Click on select recipients under the mailings menu, so you can tie in the Excel spreadsheet.
  10. Click on use an existing list.
  11. Point to your Excel spreadsheet in the Windows Explorer.
  12. Next, pick your sheeet that has your data
  13. Make sure you check where it says "first row of data containes column headers".
  14. Then click on OK.
  15. Select address block from the mailings menu.
  16. Select match fields from the insert address lock screen.
  17. Make sure all important fields have a matching field.
  18. Click on OK.
  19. Click OK again.
  20. Make sure you pick update labels.
  21. Pick finish and merge.
  22. Select edit individual documents
  23. Click Ok.
  24. You should now have mailing labels from your Excel data.
